Unlike our Ads Only service, Done For You means we handle the complete patient acquisition pipeline — from the first ad impression to the booked and confirmed consultation. Your appointment setters work within our system, tracked and managed by Pro-Pulse so you always know what is happening and why. Your job is to deliver excellent consultations and convert. Everything before that is ours.

Sign the Service Agreement
Required

Your service agreement has been sent to your email. Review it carefully and sign it before your onboarding call. This document confirms the full scope of the DFY system, what is included, ad spend expectations, and both parties’ responsibilities.

If you have not received it, check your spam folder or message us on Slack immediately.

Note: Campaign setup cannot begin until the agreement is signed. Given the scope of the DFY system, this document is particularly important to read in full before your onboarding call.

Join Slack
Required

You will receive a Slack invite to your email shortly. Accept it and download Slack on both desktop and mobile. For DFY clients, Slack is especially critical — this is where your setter performance updates, booking confirmations, and weekly performance reports all live.

Grant Facebook Business Manager Access
Required

We need access to your Meta Business Manager, Facebook Page, and Ad Account to build and run your campaigns. Please grant this before your onboarding call.

No Business Manager yet? Use the second link — setup takes under 10 minutes. Granting access before your call means we can begin campaign build immediately, not after waiting for permissions to be approved.

GHL Access & Booking System Setup
DFY Only

Because we are managing your appointment setting, we need access to your CRM and booking system. This is what allows us to track every lead from first contact to booked consultation, monitor setter performance, and automate your confirmation and reminder sequences.

CRM Access
Your current CRM or we will set up your GHL (GoHighLevel) sub-account as part of onboarding.
Booking System
Access to your online booking platform so we can integrate confirmation and reminder automations.
Deposit Process
Confirm how you collect deposits at booking — online, card, or in clinic. This affects setter scripting.
Setter Contact
Confirm who on your team is handling enquiries currently, or if we are sourcing and training a setter for you.
No system yet? We will build one for you as part of onboarding. Come to your kickoff call ready to discuss how leads currently arrive and how bookings are currently managed.

The Consultation Operating System™
Required Before Launch

Before your campaign activates, completion of our Consultation Operating System™ is required. For DFY clients this is especially critical — because we are filling your calendar, the consultation itself is the last mile of the system we are building together.

Marketing-driven patients behave differently to referral patients. They have not been pre-sold by a friend. They are comparing options. A structured consultation process is what converts that enquiry into accepted treatment — and that conversion happens in your room, not ours.

The COS covers: the difference between referral and marketing consultations, a structured 5-phase consultation framework, objection and price handling, and how to track your conversion rate over time.

Time required: 60 to 90 minutes. Complete this with every person involved in consultations. If you do not currently offer patient financing, review the financing guide inside the COS — it consistently improves close rate and average treatment value.

Complete the Onboarding Form
Required

Our onboarding form captures everything we need to build your system correctly — your clinic profile, target patients, treatment focus, current marketing, and technical access details. The more detail you provide, the faster and more precisely we can build.

The form takes 15 to 20 minutes to complete. Submit it at least 24 hours before your kickoff call so we can review your answers in advance and arrive prepared.

Done For You means we take on the most demanding parts of patient acquisition so your focus stays where it creates the most value — in the treatment room. But the system only performs when both sides execute. Your role in the consultation is the part we cannot do for you. The COS exists to make sure that when a patient sits down in front of you, everything before that moment has been handled at the highest standard. Do not skip it.
